  2. Sets Immediate Expectations: It tells them exactly what will happen next so they aren't left wondering.

Your email template should look something like this:

Subject: Welcome to the [Project Name] Project! Here’s what’s next. Hi [Client Name], I’m so excited to get started on your project! This email confirms that your first payment has been processed successfully. Here’s what you can expect over the next 48 hours: You’ll receive an invitation to our shared Google Drive folder. I’ll send over your detailed Welcome Packet, which includes our project timeline, communication guidelines, and a link to your intake questionnaire. I’ll send a calendar link to book our official Kickoff Call. I can't wait to begin. Best,[Your Name]

Step 2: The All-in-One Welcome Packet

A Welcome Packet is a single PDF or private web page that acts as the "source of truth" for the entire project. Its purpose is to answer every question your client might have before they even think to ask it. This single document prevents dozens of future emails.


Your Welcome Packet MUST include:

  • A genuine welcome message.

  • The project scope and goals (copied from the proposal).

  • A high-level project timeline with key milestones.

  • Your official office hours and preferred communication channels (e.g., "Email is best, and I respond within 24 hours on weekdays.").

  • A link to their intake questionnaire (where they provide brand assets, logins, etc.).


This document is your first, best chance to establish control and set professional boundaries. Step 4: Your Internal Project Setup

  • Create a Project Card: Add the project to your management tool (Trello, Asana, Notion, etc.).

  • Build Your Folder System: Create a dedicated Google Drive or Dropbox folder for the client with sub-folders like 01_Admin, 02_Client_Assets, 03_Drafts, 04_Final_Deliverables.

  • Set Your Deadlines: Add all key milestones and delivery dates to your calendar.

I have all the information and assets I need, and I'm officially starting on the creative work today. As discussed, you can expect the first draft in your inbox by EOD on [Date]. Let's do this! Best,[Your Name]
